How hotel locking systems actually work

A hotel lock is a different product from a home smart lock, built around one requirement: issuing a credential valid for a specific room between specific dates, thousands of times, without touching the door.

The system has three parts — the locks, an encoder at reception, and the software. Reception encodes a card with the room and the validity period; the lock reads it and decides. Crucially, the locks are usually offline and battery powered, which is what makes retrofitting a hotel feasible without wiring every door.

The card hierarchy is where the real work is. Guest cards open one room for a date range. Housekeeping cards open a floor during working hours. Maintenance and master cards open more, and an emergency card overrides everything. Getting this hierarchy right at setup is what determines whether the system is a security asset or a liability.

For serviced apartments and small guesthouses, this model is often better than consumer smart locks, precisely because the credential expires by itself. Nobody has to remember to remove a guest's access after checkout.
