Getting attendance data into payroll without manual work

The value of an attendance system is not the clocking, it is not re-typing the results. Most companies in Egypt still export to Excel and reconcile by hand, which reintroduces exactly the errors the device was bought to remove.

There are three integration levels. The simplest is scheduled export: the attendance software writes a file that payroll imports. It is reliable and needs no development, but somebody has to remember to run it. The middle level is a shared database, where payroll reads attendance tables directly. The most complete is an API link, where approved timesheets push to payroll automatically at period close.

Whichever level you choose, the decisions that actually determine whether it works are policy ones: who approves an anomaly, what happens when someone forgets to clock out, and whether a manager can amend a record after the fact. A system that lets anyone edit timestamps silently produces payroll data nobody trusts, which is worse than no system at all.

What to ask your payroll provider first

• What import formats does the payroll system accept?
• Can it take a scheduled file, or does it need manual upload?
• Does it need attendance in hours, or in in/out pairs?
• Is there an audit trail on amended records?
