Why attendance projects fail, and it is never the device

Companies buy an attendance device expecting it to solve a payroll problem. The device only produces a list of timestamps. Everything that makes those timestamps useful — shift definitions, permitted lateness, overtime rules, leave types — lives in the software and in decisions your HR team has to make before the device is installed.

The single most common cause of a failed rollout is not defining the shift rules first. If the system does not know that the factory runs a shift crossing midnight, every night-shift worker appears absent on one day and present twice on another. Fixing this after three months of data is far more painful than spending an afternoon on it beforehand.

The second cause is fingerprint quality on the actual workforce. Manual workers, anyone using solvents, and older employees frequently have fingerprints that ordinary optical sensors reject. On a factory floor this produces a queue at shift change and a workforce that resents the system. This is a solved problem — a device with a SilkID sensor, or face and card as alternatives — but only if you know about it before you buy.

Decide these before installation, not after

• Shift patterns, including any that cross midnight
• Grace period for lateness and how overtime is counted
• Leave types you need reported separately
• Whether the data feeds payroll automatically or is exported manually
• Who administers enrolment when someone joins or leaves
